Payroll Report Documentation

Letter codes and explainations:

M: Multiple Gaps

This flag indicates that there are more than one time gaps in a single day.  A single gap usually indicates a lunch taken.  More than one gap is common, but is not always handled correctly by the eTime import process.  This is flagged to indicate that the person importing the time into eTime should verify that this imported correctly.  Adjustments may be required in eTime.

H: Hours greater than or equal to 16

This flag inndicates that there are more than 16 hours in a single time entry.

E: Automatic link between PAIS and eTime failed for this employee

This flag indicates that the synchronization process could not link PAIS and eTime records for this imployee.  Possible reasons for this include employee not having been set-up in eTime or the employee number in eTime does not match the employee number set up in PAIS for the employee.  This record will NOT download to eTime.

L: Fifteen Minute Gap

This flag indicates a gap of less than 30 minutes between time entry records.  This scenario is not always handled correctly by the eTime import process and must be verified in eTime.

G: Less than four hours gap, with lunch taken

This flag indicates a gap between time records of less than 4 hours with a lunch deduction indicated.  This scenario is uncomon and should be verified.

N: Non-Standard time

This flag indicates a punch time which is not rounded to a quarter hour increment.  PAIS times must be rounded to :00, :15, :30, or :45 minutes.

Hours Calculations and Assumptions

Lunch Deduction

If a lunch deduction is indicated and the total hours is equal to or greater than 5 (the current setting in eTime), a 30 minute lunch is deducted.  This calculation matches that of the eTime system and will need to be updated if eTime rules change.

Net Hours

Net hours is calculated as total hours less lunch deduction with the following exception.  Hours which are on the report, but not in the active period are excluded from this amount.  As an example, if a shift in the PAIS system starts on the last day of the period and ends during the following pay period, only those hours in the period will be calculated as part of net hours.
